We are looking for an energetic Listings Coordinator with strong communication skills, an administrative background, and a proactive attitude to support our fast-paced team.
Key Responsibilities:
Assist with administrative tasks in managing the database and scheduling appointments.
Organize and manage direct communication with clients and collaborators through phone calls and emails.
Provide essential support to the sales team by coordinating with legal and marketing teams.
Handle general administrative tasks to ensure the smooth operation of daily activities.

Key Responsibilities
Organizational Skills
• Efficient Scheduling: Design and manage schedules that optimize travel, setup, filming, editing, and publishing times, ensuring projects stay on track and within scope.
• Location Coordination: Contact high-end venues, restaurants, and hotels to coordinate film locations, scheduling shoot times, and arranging access to key sites.
• Workflow Mastery: Oversee the end-to-end workflow of each project, from planning and filming to editing, with a strategic approach that aligns with Drumelia’s vision.
Communication & Negotiation Skills
• Partner Engagement: Develop and maintain relationships with brands, tourism boards, and luxury partners, creating tailored proposals that embody the values of empathy and respect.
• Nonviolent Communication: Utilize nonviolent communication principles to engage with all stakeholders, fostering clear, respectful, and collaborative relationships.
• Collaborative Deal Management: Work with team members and partners to structure and oversee agreements, ensuring deliverables are met and each project reflects Drumelia’s quality standards.
Analytical & Strategic Thinking
• Impactful Outreach: Identify and target potential brand and venue partnerships, crafting innovative proposals that amplify Drumelia’s reach.

• Budget Management: Oversee project budgets to ensure cost-effectiveness.

Qualifications
Experience & Expertise
• Project Management Proficiency: Minimum of 3-5 years in project management within the luxury, hospitality, or tourism sectors.
• Brand Partnership Experience: Proven track record managing high-value brand partnerships or collaborations with a focus on results and relationship building.
• Education: Bachelor’s degree in Business Management, Marketing, or a related field. PMP certification is a plus.
Language Proficiency: Fluent in English and Spanish, both written and spoken.
